LotClip Privacy Policy (Alpha)
LotClip ("we," "us") lets a dealership salesperson record a short vehicle video, bundle it with photos and a note into a shareable page (a "clip"), and send it to a customer by email or text. The customer views it in their browser. This policy explains what information we handle during our private alpha. Questions: support@lotclip.com.
Who's responsible for what. This is a tool the dealership uses to reach its own customers. For the dealership's customer information (the contacts it uploads and the people who view clips), the dealership decides how that data is used and is responsible for having consent to contact those customers; LotClip handles that data on the dealership's behalf. For staff account data (the salespeople and admins who log in), LotClip is responsible.
1. Information we collect
- Staff accounts: name, email, optional phone, and role. Sign-in is through Firebase; we don't store passwords in plain text.
- Customer contacts (entered by the dealership): customer name, and email and/or phone, plus records of which clips were sent and whether they were delivered.
- Clip view data: when a clip is opened, view counts and timestamps, and approximate location/device and IP from the browser, used to show the dealership view tracking.
- Content you upload: the videos and photos in your clips.
- Technical data: basic logs (IP, device/app version, timestamps) for running and troubleshooting the service.
2. How we use it
To operate and test the platform — create, send, and track clips — and to provide support, fix problems, keep the service secure, and improve it. We do not sell information or use it for advertising, and we don't use your uploaded content to train AI models.
3. Who we share it with
- Google Firebase / Google Cloud — sign-in, storage, database, notifications.
- SendGrid — to send clips by email on the salesperson's behalf.
These providers process data only to provide their service to us.
4. Where it's stored
Data is hosted in Canada, which may be outside Canada (in the United States). When Canadian personal information is processed in another country, it may be accessible to that country's authorities under their laws. We remain responsible for it and use contractual protections with our providers.
5. Sending clips and your customers' consent (CASL)
Clips are sent on the salesperson's behalf. Under Canada's anti-spam law (CASL), which covers both email and text messages, the dealership is responsible for:
- having the customer's consent before sending a clip;
- identifying who the message is from; and
- honouring opt-outs.
A customer who no longer wants clips can contact the dealership.
6. How customers can opt out or exercise their rights
Because the dealership controls its customer data, a customer should contact the dealership to opt out or to access, correct, or delete their information. They can also email us at support@lotclip.com and we'll pass the request to the dealership and help action it.
7. How long we keep information, and deletion
We keep account data and content while the alpha is active. You (or a customer, via the dealership) can request deletion by emailing support@lotclip.com; we'll delete the relevant records and files within 30 days of a verified request, except anything we must keep by law.
8. Staff rights
Staff can ask to access, correct, or delete their own account information by emailing support@lotclip.com.
9. Security
We use reasonable safeguards, including encryption in transit, access controls, and authentication through Firebase. No system is perfectly secure, but we work to protect your information.
10. Children
LotClip is for dealership staff and is not intended for children; we don't knowingly collect information from minors.
11. Changes
LotClip is in active development, so we may update this policy and will post the new version with a new date.
